Role description

Position Summary
The Graduate Operations Intern will provide administrative and operational support to the Director by assisting with quotations, invoicing, site assessments, job preparation, and client coordination.
This is a development role designed to expose a recent graduate to business operations within a growing logistics company. As such, the role is primarily supportive, and all quotations, invoices, operational decisions, and client commitments must be reviewed and approved by the Director before implementation or communication.
Key Responsibilities
Quotations & Administration
- Prepare quotations based on information gathered during client assessments.
- Prepare invoices for completed jobs.
- Track quotation approvals and maintain a quotations register.
- Follow up approved quotations for conversion into confirmed bookings.
- Maintain accurate client records and job documentation.
- Site Assessments
- Conduct residential and office relocation assessments.
- Accurately capture inventory, access requirements, and special handling requirements.
- Take photographs and measurements where required.
- Prepare assessment reports for review by the Director.
- Operations Support
- Assist in preparing jobs prior to execution.
- Coordinate packing material requirements.
-Confirm labour requirements based on guidance from the Director.
- Support scheduling of relocations.
- Maintain operational records and checklists.
- Client & Team Liaison
- Act as the first point of contact for routine client enquiries.
- Provide clients with updates regarding scheduled jobs where appropriate.
- Liaise with drivers and relocation teams to support smooth execution.
- Escalate operational issues promptly to the Director.
- General Administrative Support
- Maintain electronic filing systems.
- Prepare weekly operational summaries.
- Assist with procurement of operational supplies.
- Perform any other reasonable duties assigned by the Director.

Qualifications
- Bachelor's Degree (completed or awaiting graduation) in Business Administration, - Logistics, Public Administration, Project Management, Supply Chain Management, or a related field.
